Information about your Data Controller
The Controller of your personal data (hereinafter referred to as: "Data") is VOSS, which processes your Data for the following purposes: recruitment process; marketing activities;

How do we process Data?
This information applies to the processing of your Data, in situations where:

  • you use our marketing activities,
  • you take part in the recruitment to our team,
  • you contact us (e.g. by phone, post or e-mail, including the contact form on our website).

We take special care to protect your interests as data subject and in particular we ensure that:

  1. we process Data lawfully, fairly and transparently;
  2. we collect Data for specified, explicit and legitimate purposes and do not further process it in a way incompatible with those purposes;
  3. Data shall be adequate, relevant and limited to what is necessary for the purposes for which it is processed;
  4. Data is correct and updated as necessary;
  5. we keep the Data in a form that enables you to be identified as the person to whom it relates for no longer than is necessary for the purposes for which it is processed;

we process Data in a manner that ensures appropriate security, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, by means of appropriate technical or organizational measures.

When do we process Data?
We process data as a Controller in a number of situations. This may include situations in which you have provided us with your Data in person through various communication channels (e.g. submitting your application).

Data processing in connection with marketing activities.

1. What Data do we process?
As a Controller, we process your Identification and Contact Data provided to us as part of our marketing activities.

2. What is the purpose and basis of Data processing?
In connection with the above activities, we process the Data in order to conduct marketing activities.
The basis for the processing of your Data is the legitimate interest of the Controller.

3. How long will the Data be processed?
As a general rule, we shall process your Data, for the purposes set out above, until you object, withdraw your consent to the communication or until we have finished sending you the materials, for the period required by the provisions of law or for the period of limitation for any claims - whichever is longer.

Data processing in connection with recruitment

1. What Data do we process?
We process any Data provided to us as part of application and collected as part of the recruitment process for the purposes necessary for the current recruitment process at VOSS and, if you have given your consent, for future recruitment processes for similar positions.
We may process the following Data in connection with recruitment (processing of some Data may be subject to your consent): identification data, contact details, education data, skills and previous employment data, eligibility data and other Data provided to us during the recruitment process.

2. What is the purpose and basis of Data processing?
In connection with recruitment, we process Data for the following purposes:

  • to consider your application and implement the recruitment process, and in the case of consent, also for the purposes of future recruitment;to defend against potential claims, and for the possible referral of claims.

The basis for the processing of your Data is taking actions at your request as the Data subject prior to concluding a contract, the provisions of the law in force, in particular the Labour Code and executive acts, and in the scope wider than specified in these provisions or for the needs of future recruitment processes, your consent.

3. How long will the Data be processed?
As a general rule, we shall process your Data, for the purposes set out above, for the duration of the recruitment process or, depending on your additional voluntary consent, future recruitments or until you withdraw your consent and thereafter until the expiry of the limitation period for any claims, unless we are required by the provisions of law to process the Data for a longer period.

  • In the case of recruitment, your Data may also be transferred to entities that technically or organizationally assist us in conducting employee recruitment, including communication with candidates.

 

Data processing in connection with the contact made

1. What Data do we process?
We process data of persons provided to us as part of contacting us by phone, e-mail or the contact form on our website.

In connection with this relationship, we may process the following Data: identification data, contact details, job position and professional entitlement data and other Data provided to us in connection with the contact.

We obtain this data directly from you.

2. What is the purpose and basis of Data processing?
In connection with the above relationship, we process Data for the following purposes:

  • to establish cooperation;
  • to conclude and perform the contract;
  • to settle contracts;
  • to respond to any inquiries or requests made and maintain further correspondence/contact in this regard;
  • to defend against potential claims, and for the possible referral of claims;
  • to comply with our legal obligations (e.g. tax, accounting, claims handling).

The basis on which we process your Data is:

  • necessity for the performance of a contract or taking steps prior to entering into a contract at your request as a Data subject;
  • fulfilment of our legal obligations;
  • our legitimate interest in the form of contact, including correspondence, and defence against potential claims.

As a rule, providing Data is voluntary, however, it may be necessary in order to conclude or execute a contract, answer a given inquiry or for the purpose of correspondence, including return contact regarding recruitment.

3. How long will the Data be processed?
Data collected for the purpose of entering into and performing a contract shall be processed for the duration of the contract or until you raise an objection to the processing based on our legitimate interest, unless the provisions of law (e.g. archiving, tax, accounting) obliges us to process the Data for a longer period or we keep the Data longer in case of potential claims, for the period of their limitation period determined by the provisions of law - whichever is longer.

Your data provided as part of contacting us will be processed for the period necessary to answer and, if applicable, correspond with you, and then until the expiration of the period of limitation for any possible claims.

What rights do you have?
In any event, you have the right to:

  1. access to the Data (including, for example, receiving information on which Data is processed);
  2. request for rectification and restriction of Data processing (e.g. if incorrect);
  3. erase the Data (e.g. in the event that it has been unlawfully processed);
  4. transfer Data which you have provided to the controller and which is processed by automated means and the processing is based on consent or on contract, e.g. to another controller;
  5. object to the processing of the Data on the basis that it is necessary for the purposes of the legitimate interests pursued by the controller or by the third party, including in particular the processing for marketing purposes;
  6. lodge a complaint to the President of the Data Protection Office.

If the processing of Data is based on consent, you have the right to withdraw it at any time without affecting the lawfulness of the processing carried out on the basis of consent before its withdrawal.
